Role of Sentia Mind Clinic

The Clinic provides administrative and technical support services to independent practitioners who operate their practices under their own Australian Business Numbers (ABNs).

These services may include appointment scheduling, payment facilitation, billing and communication support, telehealth access, IT administration, and the use of automation or artificial intelligence tools for administrative purposes.

Practitioners engage the Clinic to access these services as part of their practice management. Clinical advice, treatment, and responsibilities rest solely with the treating practitioner. The Clinic does not provide clinical services and is not responsible for the acts, omissions, or professional conduct of practitioners.

Appointments and Payments

Appointments are booked via the Clinic’s secure online system. Deposits may be required at the time of booking. Cancellations made less than forty-eight (48) hours before an appointment may result in forfeiture of the deposit.

The Clinic provides payment and administrative support to practitioners. Payments are processed securely through independent third-party platforms on behalf of practitioners. While reasonable steps are taken to ensure systems function appropriately, the Clinic is not responsible for delays, errors, or failures caused by third-party providers. Receipts, refunds, and Medicare claiming are supported in collaboration with practitioners.

Telehealth Services

Telehealth consultations are facilitated through third-party platforms. By attending a telehealth session, you agree to participate from a secure and private environment, to use the provided link only for the scheduled session, and not to record or distribute the consultation without prior written consent from the practitioner.

The Clinic does not guarantee uninterrupted or error-free telehealth services and is not responsible for internet outages, platform malfunctions, or other technical issues.

Third-Party Services

The Clinic relies on independent third-party providers for booking, payment, communication, and telehealth functions. These systems are outside the Clinic’s direct control, and the Clinic is not liable for any unavailability, error, data loss, or security incident associated with such providers.

Automated and AI Systems

The Clinic may use automated processes or artificial intelligence–based tools to support practitioners with administrative tasks, such as appointment reminders, intake forms, or scheduling. These systems are for administrative purposes only, do not provide medical advice, and must not be relied upon as a substitute for consultation with a qualified practitioner.

User Conduct

Users of this website and booking systems must not:

  • provide false, misleading, or fraudulent information or bookings;

  • engage in abusive or disruptive conduct toward staff, practitioners, or during telehealth sessions;

  • attempt to bypass or misuse the Clinic’s systems.

    The Clinic may cancel appointments, suspend access, or refuse services where these Terms are breached.

Intellectual Property

All content on this website, including text, graphics, and design, is owned or licensed by the Clinic and may not be copied or distributed without written consent.

Limitation of Liability

To the fullest extent permitted by law, the Clinic is not liable for:

  • reliance on information provided on this website;

  • the acts, omissions, or professional conduct of practitioners; or

  • technical failures, outages, or security issues arising from third-party systems.

Service Availability and Variation

The Clinic may amend, suspend, or withdraw website features, booking processes, telehealth access, or administrative services at any time without liability. These Terms may also be updated from time to time, with changes effective upon publication.

User Indemnity

Users agree to indemnify the Clinic against any loss, damage, or liability arising from misuse of the website, fraudulent activity, or breach of these Terms.

Termination

The Clinic may suspend or terminate access to the website or services immediately, without notice, in cases of breach or where continued access poses a risk to operations.
